You don’t have to look that far into the past to see a time when medical transcriptionists would receive garbled speech on cassette tapes from medical practitioners and have to type in all of the information manually. Times have changed significantly and voice transcription software has made an enormous difference in the way that medical transcription companies work. For some, it has made it more profitable to be in the transcription business. For those that are slow to adapt it has meant lost clients and sometimes the failure of the business.
Voice transcription software has improved dramatically in the past few years. It was first adapted for other uses, but it soon became clear that the medical transcription industry could use this kind of software to its advantage. The challenge was that regular speech recognition software will not accommodate the enormous number of medical terms that are used by the clients of medical transcription companies. This terminology can include equipment, anatomical terms, medicines and the names of procedures. Part of the difficulty when it comes to software is that medicine is constantly changing and so too are the terms that are used.
A company that provides voice transcription software to transcription companies will have to provide a solution that can allow for upgrades to be made to the system without an interruption to the flow of work. Many transcription companies employ transcriptionists as independent contractors and they may be working on a remote basis. It is therefore imperative that the company supplying voice transcription software can deliver updates to people no matter where they are located.
Because many medical transcription workers are remotely located, it is also important that the voice transcription software is not prohibitively difficult to use. Quality training materials must be supplied and they need to be produced in a format that transcriptionists can understand. Time spent learning how to use software is not productive or profitable so systems that are complicated and full of bugs will soon be discarded.
Much more is changing than just the way that the voice transcription software changes speech to text. Companies that provide the best software platforms will not only make sure that medical transcriptionists have a highly usable interface to use, but they can also have their work distributed to them in an efficient manner. Less money needs to be spent on middle management in this case and often the distribution of work is smoother when it is automated. There must also be a facility for manual overrides to work distribution one priority assignments are required.
While this kind of software platform is changing the industry and making it more efficient, it also faces certain challenges in the future. In the past, many companies have not paid much attention to the compliance issues brought about by the Health Insurance Portability and Accountability Act. Transcription companies and voice transcription software providers that do not take heed of the stipulations set out by the act are likely to suffer for it in the long term. Transcription companies should insist that is the part of the software platform that they consider using.
